2. About The Role

Reports To

naamsa Chief Executive Officer

 

Purpose of The Role

To effectively assist the naamsa CEO, the Executive Team and to provide administrative support for the smooth and efficient operations of the naamsa Office. The role is about organising and managing all office related responsibilities , handling of calls, enquiries and to support the CEO and other senior managers in the execution of their mandate and responsibilities.

3. Key Responsibilities and Duties

  • manage the diary of naamsa CEO and coordinate all engagements, internally and externally;
  • support all naamsa Executives in synchronising their appointments with mission critical mandates;
  • arrange local and international travel for the CEO and support the Executives, where required;
  • support the CEO in preparations for all naamsa governance meetings, send out invitations, prepare agendas, pre-reading material, logistical support, and provide other administrative support;
  • provide administrative support to the Company Secretariat in organising naamsa Board Meetings, Annual General Meetings and naamsa Committee meetings;
  • participate actively in the planning and execution of naamsa events and activities where the CEO attends;
  • act as naamsa’s main receptionist, answer and screen calls and refer to other members of the team;
  • receive and provide hospitality support to all naamsa visitors;
  • ensure that all correspondence received via mail and/or electronically is properly controlled, systematically filed, and that all other clerical functions are correctly assigned and monitored;
  • ensure the security, integrity and confidentiality of data and to safeguard all other naamsa records;
  • review and approve office supply acquisitions, buy groceries and update the inventory list regularly;
  • be the custodian for office operations such as maintenance, manage the asset register and equipment;
  • contribute and assist in the design and implementation of office policies and procedures;
  • coordinate office staff activities to ensure maximum efficiency, and
  • perform all other administrative functions as delegated by the CEO.

4. Essential Requirements

  • matric or a suitable qualification in Office Administration and Management;
  • 3 – 5 years’ administrative experience in similar roles;
  • a confident and grounded person with the ability to handle challenging situations;
  • a good communicator who is reliable, approachable and open with a strong ability to engage with others at senior levels;
  • highest ethical standards, integrity and strength of character in personal and professional dealings;
  • demonstrate a high level of energy and drive;
  • performance-driven and action-orientated with an appetite to move with urgency;
  • a team player, an independent self-starter, self-driven individual with the ability to work long hours and with minimal supervision; and
  • time management and ability to maintain confidentiality.

5. Skills and Attributes

  • proven office management, administrative or assistant experience;
  • knowledge of office management responsibilities, systems and procedures;
  • excellent time management skills and ability to multi-task and prioritise work;
  • attention to detail and problem-solving skills;
  • excellent written and verbal communication skills;
  • strong organisational and planning skills;
  • proficient in MS Office, computer skills and knowledge of office software packages; and
  • knowledge of clerical practices and procedures.
